Invitation to participate in Gulfood 2025 exhibition

With the aim of promoting Vietnamese pepper and spice products in the international market, especially in the Middle East and Arab countries, the Vietnam Pepper and Spice Association respectfully invites businesses to participate in the Gulfood 2025 exhibition from February 17-21, 2025 in Dubai, UAE. Gulfood is one of the largest global events in the food and spice sector held annually in the Middle East, attracting the participation of businesses, importers and distributors from all over the world. This is an opportunity for Vietnamese businesses to expand their markets, connect with customers and continue to increase export value.

Following the success of the Association’s business delegation participating in the Gulfood Fair 2023-2024 and at the same time supporting businesses to continue introducing and promoting Pepper and Spice products to international customers in the Middle East market, the Vietnam Pepper and Spice Association has successfully registered a booth at the Gulfood Fair 2025. Specific information is as follows:

1. Area

Area: 56m2 (7m wide x 8m long – 3 open sides) – Location: ZA’ABEEL Hall 4-6.

2. Expected number of booths

08 booths

3. Time & Location

From 17-21/02/2025 – Dubai World Trade Center – Dubai, UAE.

4. Estimated booth costs

Estimated size: 2m wide x 3m deep + 1m2 warehouse (estimated)

+ Regular booth: 1,300 USD/m2 (expected 6 booths)

+ Corner booth: 1,500 USD/m2 (2 booths)

Note: Businesses can also register for more than 7m2. The association will finalize the design based on the number of businesses registering to participate.

Cost includes: (1) Vacant land; (2) Co-exhibition fee; (3) Registration, insurance and advanced Internet fee; (4) 3D design fee, staging, construction, basic equipment rental (1 counter, 1 round table, 2 chairs, 1 trash can); (5) Related additional costs as stipulated in the contract. Printing and poster pasting costs are not included.

5. Implementation method

5.1 Estimated cost of participating in an exhibition booth (not including design, staging, electricity, poster printing, etc.):

– Basic booth cost (estimated 7m2): 130,000,000 VND

– Corner booth cost (estimated 7m2): 165,000,000 VND

– Contingency cost: 15,000,000 VND (to cover expenses arising after the fair and will be refunded after the booth is settled with the Organizing Committee)

– Organization and management service fee: 3,000,000 VND (VPSA members), 4,000,000 VND (outside VPSA Association).

5.2 The Association will find and introduce a design company, which is also a reputable partner of the Association, together with the business to approve the booth design. Then the business will proactively sign a contract and pay directly to the design company, including renting additional interior equipment if required.

5.3 Organizing groups to participate in tours

If there is a request for support, the Association will organize a delegation including visitors to attend Gulfood 2025 as Visitors. The Association will continue to notify later.

5.4 Payment and exhibition booth registration

Due to the limited number of booths, the Association will prioritize according to the following criteria:

– Member of Vietnam Pepper and Spice Association;

– Register and deposit on time;

– Have the need/registration to join the Association;

– Regularly participate in the Association’s activities, especially trade promotion programs, seminars and international conferences organized by the Association.

Dear registrants, please transfer 100% of booth space fee, reserve fee and organization and management service fee before 5:00 p.m. on September 20, 2024 according to the following information:

– Account name: Vietnam Pepper and Spice Association

– Account number: 007.1003652233 – Vietcombank, Ho Chi Minh City

– Transfer content: Company name + deposit Gulfood 2025.

6. Case of booth cancellation

Enterprises are responsible for their own registration. If an enterprise has completed the registration to participate in the program with the Association but cancels its participation, the paid fee (as stated in Section 5.1) will not be refunded unless the enterprise finds a replacement unit and must bear other related costs, if any. In case a replacement unit cannot be found, the enterprise will bear 100% of the booth cost. The contingency cost will be refunded by the Association to the enterprise after deducting related costs (if any). Note: The Association is not responsible for the enterprise’s application for an entry visa to the UAE.

7. Invoice

Gulfood will issue a general invoice for 1 Association booth. The Association will allocate costs based on the square meters of the registered business. The documents sent back to the paying business are the general invoice of the Gulfood booth and the cost allocation table based on the square meters registered by the business.

Design, construction and staging invoices will be issued separately by the service company according to each business’s installation costs.
